Payment Information: Payments are processed through secure third-party payment providers. Deep Roots Jiu Jitsu does not store full credit card numbers.
Media Content: Photos, videos, audio, or other recordings may be captured during classes, events, seminars, or promotions and may include students and instructors, subject to the media waiver executed during enrollment.
Website & Technical Information: Our website may collect limited technical information such as IP address, browser type, device type, pages visited, analytics data, and cookies or similar technologies.
2. WHERE INFORMATION IS STORED
All student, parent, and membership information is stored and maintained within a secure, third-party school management system designed for martial arts academies. Deep Roots Jiu Jitsu does not maintain separate internal databases, spreadsheets, or offline repositories containing student personal information, except where temporarily required for operational or legal purposes.
Mobile phone numbers and SMS opt-in information are stored securely and are never shared, sold, or transferred to any external party.
3. HOW WE USE INFORMATION
We use information to administer memberships, schedule and deliver classes, process billing and payments, communicate updates, ensure safety and emergency preparedness, provide customer support, and operate the school.
SMS consent and mobile numbers are used solely for communication between Deep Roots Jiu Jitsu and the individual who provided the number. This information is never shared, sold, or transferred to third parties for marketing or any other purpose.
Legal, Compliance & Safety Uses: Information may also be used to enforce agreements and policies, address safety incidents, protect students and staff, and comply with applicable legal obligations.
4. CHILDREN’S INFORMATION
We offer programs for children. Personal information for minors is collected only with parental or legal guardian consent and is stored within the same secure school management system. Communications regarding youth participants are directed to the parent or guardian using the contact information provided during enrollment.

Media may be used for marketing, promotional, or educational purposes through channels such as our website or social media, as permitted by the signed media waiver. Media rights are governed by the executed waiver.
6. SHARING OF INFORMATION
We do not sell or rent personal information. Information may be accessed only by authorized staff and instructors for legitimate school operations, or shared when required by law or with emergency responders when necessary for safety.
Mobile numbers, SMS opt-in data, and text communication preferences are never shared with outside companies, vendors, or partners. These details remain strictly within Deep Roots Jiu Jitsu’s internal communication systems.

11. TEXT & COMMUNICATIONS
By providing your phone number, you authorize Deep Roots Jiu Jitsu to contact you by text for class updates, scheduling changes, billing-related notices, and, where permitted, promotional communications. You may opt out of marketing communications at any time by notifying us in writing or replying STOP.
Your mobile number and SMS consent will not be shared, sold, or disclosed to any third party. SMS opt-in is used exclusively for communication from Deep Roots Jiu Jitsu.

KIDS PROGRAM PRIVACY ADDENDUM
This Addendum supplements the Privacy Policy and applies to participants under 18 years of age.
Information Collected: With parental consent, children’s information (including name, date of birth, parent/guardian contact details, emergency contacts, attendance and progression records, optional safety-related notes, and approved media) is stored within the same secure school management system.
Use: Information is used solely for instruction, safety, communication with parents or guardians, school operations, and promotions permitted by the media waiver.
Media Sensitivity: We strive to use good judgment when sharing youth-related media. Media permissions are governed by the enrollment waiver.
Sharing: Children’s information is never sold or rented and is accessed only by authorized staff, emergency responders when necessary, or legal authorities when required.
For clarity, children’s mobile numbers and SMS consent data (when applicable) are never shared, sold, rented, or disclosed to any third party.
Retention: Youth information is retained only as long as reasonably necessary for operations, safety, and legal requirements.
Parental Rights: Parents or guardians may review, update, request deletion, or withdraw consent where legally permissible by contacting the school. Verification may be required.
